The short version
This is a static marketing website. It has no accounts, no forms that send anything to our servers, no cookies and no analytics. The only personal data we end up holding is what you choose to send us when you email. We keep that as ordinary business correspondence, we never sell it, and we delete it when you ask.
The rest of this notice spells that out properly, because UK GDPR says it should and because you are entitled to know exactly what happens.
Who we are
Yours Digitally Ltd is the data controller for the personal data described in this notice. That means we decide why and how it is used, and we are responsible for looking after it.
- Yours Digitally Ltd, registered in England and Wales
- Company number: 17417569
- Registered office: c/o 66 Paul Street, London, England, EC2A 4NA (we operate from Nottinghamshire)
- Privacy requests and questions: hello@yoursdigitally.co.uk
We are not required to appoint a data protection officer. Send anything about this notice to the email address above and our team will deal with it.
What this website collects by itself: nothing
The site is made of plain pages. When you visit:
- There are no cookies. We do not set any, and we do not use any third-party service that sets them on our behalf.
- There is no analytics or tracking. We do not use Google Analytics, the Meta pixel, heatmaps, session recording or anything of that kind.
- There are no accounts, logins or user profiles.
- The contact page does not send anything to us. When you write a note and press the button, it opens your own email app with the message filled in. Nothing leaves your device until you choose to send that email yourself.
We may add analytics in future so we can see which pages are useful and which are not. If we do, we will choose a privacy-respecting tool, update this notice before it goes live, explain exactly what is collected, and ask for your consent where the law requires it.
Fonts loaded from Google
The site uses three typefaces (Sora, IBM Plex Sans and IBM Plex Mono) delivered by Google Fonts. When a page loads, your browser fetches the font files directly from Google's servers. Like any web request, that fetch carries your IP address and some details about your browser, and Google may log it. Google states that no cookies are sent with these requests and that it does not use Google Fonts data for advertising. Even so, the request happens, and you should know about it.
Our lawful basis for this is legitimate interests: the fonts are part of making the site readable and consistent, and the data involved is minimal. If you would rather the request did not happen, a browser extension that blocks third-party requests will stop the fonts loading, and the site will fall back to a typeface already on your device. If we move to hosting the fonts ourselves, this section will be removed.
Google's privacy policy is at policies.google.com/privacy.
Hosting
The site is served from Google Firebase Hosting. Any web server has to receive your IP address and the address of the page you asked for in order to send it back to you, and hosting providers keep short-term request logs for security and reliability. We do not use those logs to identify visitors, and we do not combine them with anything else.
When you email us
When you write to hello@yoursdigitally.co.uk, whether directly or through the note on our contact page, we receive what you choose to send: usually your name, your email address, your business name if you include it, and whatever you tell us about your store or project.
What we do with it
- Reply to you, and carry on the conversation for as long as you want to.
- If the enquiry turns into work, use the details to prepare a quote and a written agreement, and then to deliver the work.
- Keep the thread as business correspondence, so we both have a record of what was discussed and agreed.
What we do not do with it
- Sell it, rent it, or pass it to anyone else for their marketing.
- Add you to a mailing list. If we ever start a newsletter we will ask you first, and you will be able to leave it with a single click.
- Use it to build a profile of you, or to make automated decisions about you.
Our lawful basis is legitimate interests: you got in touch, and replying is exactly what you would expect us to do. Where an enquiry becomes a contract, the basis becomes performance of that contract. If your message includes details about other people, such as a colleague's contact details, we treat those in the same way.
Who else sees it
Our email runs on a third-party business email service, so that provider stores the messages on our behalf as a processor. It acts on our instructions and is bound by contract to protect the data. Beyond that, we share your details only if the law requires it, or if you ask us to, for example when you want an introduction to another specialist.
Some of the providers we use, including Google, may process data on servers outside the UK. Where that happens we rely on the UK adequacy regulations for the country concerned, or on the UK International Data Transfer Agreement or Addendum, so that your data keeps the same level of protection it has at home.
How long we keep it
- Enquiries that do not lead to work: deleted within twelve months of the last message, or sooner if you ask.
- Correspondence with clients: kept for the length of the engagement and for six years afterwards, because that is how long UK law can hold either side to a contract and how long tax records must be kept. After that it is deleted.
- Anything you ask us to delete: removed within one month, unless we have a legal reason to keep a specific record, in which case we will tell you what we are keeping and why.
Your rights
Under UK GDPR you can ask us to:
- Tell you what personal data we hold about you and give you a copy (the right of access)
- Correct anything that is wrong or incomplete (rectification)
- Delete it (erasure). For an enquiry, that means we remove the email thread.
- Stop using it, or limit how we use it (restriction and objection)
- Give it to you in a common machine-readable format (portability)
You also have the right not to be subject to a decision based solely on automated processing. We do not make any decisions that way.
To exercise any of these rights, email hello@yoursdigitally.co.uk. We will acknowledge your request within one working day and complete it within one month. There is no charge in normal circumstances. We may ask you to confirm your identity first, so that we do not hand your information to someone else.
Complaints
If you are unhappy with how we have handled your data, please tell us first and give us the chance to put it right. You also have the right to complain to the UK supervisory authority, the Information Commissioner's Office (ICO):
- Website: ico.org.uk
- Helpline: 0303 123 1113
- Post: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
Children
This site is written for business owners and is not aimed at children. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, email us and we will delete them.
Changes to this notice
When anything changes, for example if we add analytics or a contact form that sends data to us directly, we will update this page and the date at the top. Significant changes will be explained in plain English here rather than buried in a reworded paragraph.
